Office Manager with contract administration emphasis- Fort Myers, FL

Schwing Bioset is seeking a highly organized and proactive in-person Office Manager/Contract Administrator in our Fort Myers, FL office to oversee the daily operations of our office. The ideal candidate will be responsible for ensuring efficient office procedures, managing administrative staff, and providing support to various departments. This role requires strong leadership skills, excellent communication abilities, and a keen eye for detail to maintain a productive work environment.
Responsibilities
I. Office Manager Role
- A. Typing/Word Processing: correspondence, quotations, etc to support Project Management and Contract Management depts’ as required.
- B. Filing: Project Files/Books; tracking contract paperwork
- C. Telephone: answer all phone calls for the office professionally– transfer to appropriate party.
- D. Mail/UPS/Federal Express- distribute mail as well as bring to Post Office, if required; Prepare UPS and Fed Ex Mailings as required.
- E. Office Supplies: order administrative & lunchroom supplies
- Support all company leaders
II. Contract Administration Role
A. Update & Maintain Contract Status Report
B. Request Credit Ap & Tax Exempt from New Customers for New Customer Setup
C. Request New Customer & Ship to #’s from Accounting
D. New Order Setup – Assign S/O Order & enter, Setup Project Folder
E. Processing Orders & following up on Contract Compliance with company personnel
F. Notify appropriate departments when new order is entered
G. Request C.O.I.’s from provider & forward to customer
H. Following up on Terms and Conditions negotiations on contracts
I. Coordinating change orders – following up on required executed documents
J. Notary Public – become a notary for contract requirements
K. Filing Bond claims and liens on negligent accounts
L. File Preliminary Notices in required states
M. Support Contract and Project Management team with project administration
N. Prepare commission statements
Requirements
- Proven experience in an office management or administrative role is preferred.
- Familiarity with ERP systems, SAP is preferred.
- Excellent organizational skills with a focus on detail-oriented tasks.
- Proficient in schedule management and calendar coordination.
- Exceptional communication skills, both written and verbal, with a professional demeanor.
- Ability to multitask in a fast-paced environment while maintaining accuracy in all tasks.
- Proficiency in standard office software applications (e.g., Microsoft Office Suite).
